Dental Camp Planning Guide for Company HR Teams

A practical, step-by-step guide to organising a corporate dental check-up camp: timeline, checklist, camp-day flow and follow-up.

For HR & Admin Teams

A corporate dental camp, start to finish

Most people only see a dentist when something hurts. A dental check-up camp at the workplace is an easy wellness benefit: employees are screened on site, without taking time off for a clinic visit.

This guide covers what HR and admin teams usually need to decide, arrange and communicate. We handle the clinical side; you handle the access and the invitations. Every camp is agreed with you individually, so treat the points below as a starting checklist, not a fixed package.

Planning Timeline

A simple timeline for HR

Timings are a practical guide. Smaller teams can plan faster; message us and we will tell you what is realistic.

4 to 6 weeks before

Decide the purpose and audience, pick a few possible dates, and message us your location, headcount and any wellness-week theme.

2 to 3 weeks before

Confirm the date, room and timings. Agree the scope with us and share a short joining note for employees.

1 week before

Open slot booking or a walk-in window, send reminders, and confirm access, parking and room set-up with the facilities team.

Camp day and after

We set up, screen participants and share scans and reports. Afterwards, share the feedback and follow-up options with employees.

What To Arrange

What the company provides, and what we bring

From your side

A room or quiet area with a few tables and chairs, access for our team to set up, a point of contact on the day, and permission to invite employees.

From our side

The dentists, completely sterile equipment, digital intra-oral scanning, consent and screening forms, and the digitised report for each participant.

To confirm together

Date and timings, expected number of participants, whether families are included, a short awareness talk, and how reports are shared with employees.

Camp Day

What happens on the day

Camps focus on screening, awareness and a clear report. Treatment, if needed, is arranged separately at our Sector 28 clinic.

Set-up

Our team arrives early, sets up screening stations and prepares completely sterile equipment.

Registration

Each participant fills a short form and gives consent before screening.

Screening and scan

A dentist screens each participant, and a digital intra-oral scan captures a 3D view of teeth and gums.

Report

Participants receive their 3D scans and a digitised report with findings and suggested next steps.

After The Camp

Make the camp count

Follow-up care

Employees who need treatment can book at our clinic in Gurgaon, with a team of specialists across implants, orthodontics, children's dentistry and gum care.

Feedback

Collect a quick round of employee feedback so the next wellness event is better.

Repeat camps

Many organisations make a dental camp part of an annual wellness calendar. We can plan this with you.
